If your organization imports time from a separate time and attendance system, use the Map Pay Code To Earning Code validation table.
Use the time import function to transfer the time file information into the system.
In some instances, an FLSA Exempt employee who is salaried may have clocked hours on the time file and an Auto Pay record set up in the system. When the time file's hours are imported into the system, special setup is required to eliminate the possibility of paying the salaried employee twice for the same work when the time file is imported and the auto pays are generated for the Payroll Calendar.
NAVIGATION: Maintain Validation Tables > Earnings Codes Table
First, create an Earnings Code in HR2O™ with an Earning Amount of 0, an Earning Percentage of 0, a Rate Factor of 0 and a Fixed Pay Rate of 0. Select the Other Indicators according to your desired outcome, but be sure to select at least the Non-Cash Earning indicator to insure a 0 pay amount will be recorded on the payroll payment form.
Create a Shift Code with 0 amounts if FLSA Exempt Salaried employees will have shifts on the Time Import record.
NAVIGATION: Maintain Validation Codes Tables> Map Pay Code to Earning Code
Next, complete the Map Pay Code to Earning Code Table by entering the Code and a Description as it appears in the Time Import file. Complete the information block for FLSA Exempt Employees by selecting the code created in the first step for the Map to Earning Code field, and the Map to Shift Code field if appropriate.
The system looks at the Employee Master’s Assignment tab to see if the FLSA Exempt indicator is selected.
Complete the FLSA Non-Exempt Employees information by selecting the Regular earning for the Map to Earning Code field and the appropriate Shift Code for the Map to Shift Code field.
